Email Templates

Overview

OS Calendar sends automated email notifications to both customers and administrators when key events occur (booking submitted, confirmed, cancelled, etc.). The content of these emails is fully customisable through the Email Templates manager.

To access it, go to Components → OS Calendar → Manage Email Templates.

Default Email Templates

OS Calendar includes the following default email templates:

Template Trigger Recipients
New Booking — Admin A new booking request is submitted Site administrator
New Booking — Customer A new booking request is submitted Customer
Booking Confirmed — Customer Admin confirms (sets status to Confirmed) Customer
Booking Cancelled — Customer Booking is cancelled Customer
Booking Rejected — Customer Admin rejects the booking Customer

Template Fields

Field Description
Template Name Internal name to identify the template
Subject Email subject line. Supports tokens (see below).
Body HTML email body. Supports tokens and basic HTML formatting.
From Name Sender display name
From Email Sender email address (leave blank to use Joomla's default mail settings)

Supported Tokens

Tokens are replaced with real values when the email is sent. The following tokens are available:

{order_id} The booking order ID
{order_status} Current order status label
{property_name} Name of the booked property
{room_name} Name of the booked room
{checkin} Check-in date
{checkout} Check-out date
{nights} Number of nights
{adults} Number of adult guests
{children} Number of child guests
{total_amount} Total booking amount (including tax)
{payment_method} Payment method used
{customer_name} Customer's full name
{customer_email} Customer's email address
{customer_phone} Customer's phone number
{order_date} Date the booking was submitted
{site_name} Your Joomla site name
{site_url} Your Joomla site URL

Editing a Template

  1. Click on the template name or select it and click Edit in the toolbar.
  2. Modify the Subject and Body fields as required.
  3. Click Save or Apply.

Note: Make sure the Send Notification option is set to Yes in Configuration → Application → Notifications for email notifications to be sent.
